The purpose of this position is to Provide exceptional onsite support by combining Facilities Coordination , Front-of-House (Reception) , and Mailroom Operations responsibilities to deliver a seamless workplace experience for employees and visitors at the Hawthorn office. This part-time role ensures operational excellence, compliance, and customer service aligned with CBRE standards and client SLAs. Key Responsibilities 1) Facilities Coordination Manage work orders in CMMS (IFM Hub), ensuring SLA compliance and accurate records. Coordinate contractors: schedule, escort, manage permits-to-work and inductions. Support and coordinate preventive maintenance and statutory compliance (fire systems, HVAC, etc.). Liaise with landlord and property managers for base building issues, repairs, and building services coordination. Maintain consumables, stationery and pantry items Participate in safety programs, hazard reporting, and emergency procedures. Provide weekly updates and maintain compliance trackers. 2) Reception / Front-of-House Greet visitors, manage sign-in/out, issue passes, and ensure adherence to site safety briefings. Handle calls, emails, and walk-up queries; escalate service requests as needed. Coordinate meeting room bookings, AV checks (basic), and catering logistics. Maintain professional presentation and client brand standards in the lobby. 3) Mailroom Operations Receive, sort, and dispatch mail and parcels; maintain accurate logs. Manage secure deliveries and notify recipients promptly. Track and replenish mailroom consumables (satchels, labels, packaging). About you: Strong customer service and communication skills. Experience in facilities operations and/or office management. Ability to liaise professionally with landlords, property managers, and vendors. Proficiency in Microsoft 365 and CMMS platforms. Ability to multitask and prioritize effectively. Knowledge of WHS principles and emergency procedures. Familiarity with contractor management and compliance processes. What's in it for you?
