Purpose The purpose of the Student Service Officer is to take a student-centric approach to completing administrative and customer service functions. Main Duties and Responsibilities Perform administrative functions and provide excellent customer service, including but not limited to: · Attending to student queries (face-to-face, telephone or email correspondence), within appropriate timeframe · Maintaining student records via electronic, hardcopy filing systems and Student Management Systems (SMS) · Issuing attendance, learning agreements, academic progress notices to students and maintenance of records and registers · Preparing and dispatching academic documentation e.g., transcripts, letters, parchments, and certificates · Planning and delivering orientations · Assisting with student events, including Welcome Events, Graduations, LCB Open Day, Masterclass events and other events as needed · Attending face to face meetings with students under the guidance of senior staff · Conducting student welfare checks, as needed (via phone and/or physical) · Assisting with the collation of student feedback, including surveys and student representative meeting (council) attendance · Performing general administrative duties on campus, such as ordering stationery and office amenities · Updating and maintaining student notice boards and reception tv screen adverts/notifications on campus with Student Services information. · Applying comprehensive knowledge of all courses and services offered by LCBA · Liaising with colleagues from other LCBA departments and Co-Delivery Partners staff on students’ enrolment matters · Liaising with offshore staff on the preparation of reports, including Anticipated and Confirmed Students Lists for VET and HE. · Checking for discrepancies in unit enrolments, student retention reports, change of results etc. · Having an awareness and sound understanding of current visa conditions and compliance requirements when reporting student enrolment changes to the Department of Home Affairs · Reporting to the Department of Home Affairs (DHA) via PRISMS electronic system on student confirmation of enrolment, non-commencement, withdrawal, and deferral under the direction of senior staff · Assisting the Student Services Manager with training of new Student Services staff · Keeping the Student Services Manager informed through regular updates and bringing areas of concern to attention in a timely manner · Any other duties as designated by the Student Services Manager.
