Job Description Position Title: APS4/5 Mailroom Administration Officer Employment Type: 12-month contract with the potential to extend Location: Canberra Hourly Pay Rate: APS4: $52.15 – $55.59 per hour 12% super | APS5: $57.50 – $61.44 per hour 12% superannuation Security Clearance/Requirements: NV2 security clearance, ASIC pass (or ability to obtain), Current driver’s licence Working Arrangements: Onsite position with some travel required. Work may involve long or irregular hours. ABOUT THE ROLE We are seeking an APS4/5 Mailroom Administration Officer to support a busy mailroom environment within a government department. This role plays a key part in ensuring the secure movement of mail and diplomatic material, supporting both domestic and international operations. You will work as part of a small, collaborative team responsible for dispatch, receipting, documentation, and coordination of sensitive and classified mail. KEY RESPONSIBILITIES Prepare, label and weigh packages for international delivery Register, receipt and track mail items Load and unload mail vehicles Drive long distances to deliver mail (e.g., Canberra to Sydney Airport) Arrange courier pickups and gather shipping quotes Assist with preparing diplomatic courier travel documentation, including laissez-passer and manifests General accounts payable duties, including preparing invoices and following up outstanding payments Possible travel to escort diplomatic bags containing classified material Support accurate handling, packing and dispatch of mailroom bags Operate mailing equipment, software and Microsoft Office programs Provide excellent customer service and clear communication to internal stakeholders SKILLS AND EXPERIENCE Core Skills Ability to lift up to 30kg Ability to drive long distances (up to 4 hours) Strong attention to detail Sound knowledge of Microsoft Office Desirable Skills Strong verbal and written communication Research and analytical abilities Good judgment and problem-solving skills Stakeholder engagement and customer service capability Time management and organisational skills Information and records management capability Physical Requirements The role involves regular standing, walking, lifting, pushing trolleys, working in confined spaces, and sitting in vehicles for extended periods. Long or irregular hours may be required.
