We are looking for a Reception/Administration Support professional to join our Brisbane Airport office. Reporting to the Executive Assistant, you’ll be the friendly face of our business while ensuring our office operates like clockwork. About the role: In this role, you’ll provide reception and administrative assistance across multiple departments. You’ll support our team, help keep our office organised, and ensure every visitor and team member feels valued. Welcoming guests and customers in person or on the phone and answering or directing inquiries. Managing and coordinating meeting room bookings to ensure smooth scheduling and setup. Performing receptionist and administrative duties, including photocopying, binding reports, laminating, scanning, and general office tasks. Receiving, sorting, and distributing daily mail and deliveries, and preparing outgoing mail. Reconciling employee expenses accurately using Concur. Maintaining confidentiality and protecting operational integrity by handling sensitive information appropriately. Completing projects assigned by the Executive Assistant or Office Manager promptly and accurately. Assisting the Executive Assistant or Office Manager with event planning and coordination. Maintaining office supplies inventory by monitoring stock levels, anticipating needs, evaluating new products, placing orders, and verifying deliveries. Supporting onboarding for new staff by ensuring they receive necessary items such as business cards, uniforms, and equipment. Monitoring and actioning relevant ad hoc tasks received through the admin@ipd email.
