The Opportunity We are seeking a Practice Management Assistant to join our Corporate team based in our Melbourne office. In this role, you will be instrumental in driving operational excellence and ensuring strong financial hygiene across our Corporate practice group. To succeed, you will need exceptional communication skills and the ability to build trusted relationships with lawyers, clients, peers and internal stakeholders. What you’ll do Lead critical processes such as complex billing and client cost reporting, using advanced tools to deliver accurate, timely results. Champion financial efficiency by partnering with Business Finance to monitor WIP and debt and improve existing processes. Support key strategic initiatives including matter management, audits, national projects and IT system rollouts. Champion innovation and process improvement by identifying opportunities to streamline workflows, leveraging new technologies and partnering with senior stakeholders on high-impact projects that shape the future of our operations. Coordinating and producing accurate correspondence including audit letters, engagement letters and billing correspondence. Mentor and empower support staff, acting as a trusted point of escalation and helping onboard new team members. What you’ll bring Previous experience as a Legal Assistant or Legal Secretary, with a solid understanding of legal administrative processes. Demonstrated experience in billing and cost reporting, supported by strong numerical and analytical skills to ensure accuracy and compliance. Knowledge of financial systems and reporting tools (e.g., Aderant Expert, WEBI, Power BI and Excel), is highly regarded. Exceptional organisational and time-management skills, with the ability to manage competing priorities effectively. Strong matter management expertise, including handling complex files and ensuring compliance with procedures. Excellent communication skills and the ability to engage confidently with stakeholders and peers, fostering positive and productive working relationships. A friendly, can-do attitude with a proactive approach to problem-solving and collaboration. Proven ability to identify and implement process improvements, including digital transformation initiatives and adoption of emerging technologies such as Gen AI and legal tech solutions. A collaborative mindset, with a genuine willingness to train, mentor and support assistants and team members across the business. High level of discretion and professionalism when handling sensitive and confidential information.
