This position offers the opportunity to manage a well-established, busy specialist practice alongside an experienced group of surgeons and administrative staff. The surgeons at Murdoch ENT provide comprehensive diagnostic and surgical care in all aspects of ear, nose and throat health. The Practice Manager will work closely with the Business Manager and Practice Principal to ensure the smooth and efficient running of all clinical, financial and administrative operations. Key Responsibilities Practice Operations & Scheduling -Oversee and coordinate clinic and theatre scheduling for ENT surgeons across all practice locations. - Manage surgeon and staff leave calendars, public holidays, and theatre bookings in Genie. - Ensure all accreditation and hospital documentation is current (SJOG Murdoch, Armadale Hospital). Financial & Systems Management - Manage Genie/Eclipse systems for billing, receipting, and reconciliation. - Oversee theatre invoicing, health fund and Medicare claims, and end-of-month reporting. - Maintain practice fee schedules and liaise with private health funds and Medicare. - Oversee MYOB payroll, superannuation, ATO payments, and petty cash. Human Resources - Supervise, train, and support administrative and secretarial staff. - Conduct staff performance reviews and coordinate rosters and leave schedules. - Ensure compliance with HR policies, Fair Work regulations, and internal procedures. - Manage staff meetings, record minutes, and drive continuous improvement. IT & Administration - Liaise with IT providers (SkyComm, Genie Solutions, Healthlink) to resolve technical issues. - Maintain practice manuals, protocols, and policy documentation. - Oversee office supplies, clinical equipment ordering and general administration. New Doctor Onboarding - Manage onboarding processes for new surgeons, including Medicare and health fund registrations, Genie setup and clinic scheduling. - Provide training and support to staff servicing new practitioners. Patient Care & Practice Representation - Support staff with complex patient enquiries and complaint management. - Promote high standards of patient service and confidentiality. - Assist with practice marketing initiatives, GP liaison and promotional activities as required. Selection Criteria - Essential - Previous experience in medical practice management or senior medical administration. - Strong understanding of Genie, Eclipse, MYOB, and Microsoft Office. - Excellent interpersonal and communication skills. - Proven ability to manage staff, workflow and multiple priorities. - Sound financial acumen and attention to detail. - Commitment to providing exceptional service to patients and referrers.
