Job Description The Maintenance Planner is responsible for planning, preparing and coordinating maintenance activities to ensure assets across Roads, Ports and Ruvidini operations are maintained safely, efficiently and with minimal downtime. The role focuses on proactive planning, effective scheduling and ensuring all maintenance tasks are work-ready with the right information, resources and support for execution. Key Responsibilities Maintenance Planning & Scheduling Develop and maintain weekly, monthly and forward maintenance schedules for Roads, Ports and Ruvidini equipment and facilities. Prioritise maintenance tasks based on PM due dates, criticality, usage, asset condition and operational requirements. Identify upcoming maintenance workload and potential scheduling conflicts and plan accordingly. Coordinate planned work timing with operations to minimise disruption. Work Order Management Create and issue work orders with accurate scope, job steps, labour estimates, required parts, tools and safety requirements. Prepare work packs that include job cards, checklists, technical documents, drawings, and relevant safety documentation. Ensure work orders include correct parts, consumables and lead times to support efficient execution of the task. Maintenance Systems & Data Management Maintain accurate data in MEX (or CMMS) including service history, PM tasks, scheduling dates and asset information. Monitor and update odometer/hour meter readings to ensure schedules remain aligned. Review and validate closed work orders for accuracy of labour, parts, findings and next steps. Maintain Standard Jobs, BOMs and PM routines to support structured and repeatable planning. Coordination with Workshop & Contractors Liaise with workshop supervisors, operations and contractors to align maintenance work with resourcing and availability. Confirm parts availability and contractor bookings prior to scheduled work. Assist in coordinating response for breakdowns where planning input supports reduced downtime. Communicate upcoming work, schedule changes and priorities to relevant stakeholders. Continuous Improvement in Planning Identify improvements to planning processes, PM efficiency and work execution quality. Optimise PM tasks based on feedback from workshop team, completed work findings, condition monitoring or OEM recommendations. Support creation and improvement of standard job templates and maintenance planning documentation.
