Purpose of the Role BGIS is seeking an organised and proactive Project Administrator to support a portfolio of multi-year, multi-stakeholder projects. Reporting directly to Project Managers and Senior Project Managers, you will manage project documentation, maintain quality oversight, and ensure compliance with client processes. You will collaborate closely with both client and BGIS teams to enable efficient project delivery while fostering a culture of accuracy, professionalism, and a memorable customer experience. The ideal candidate will be detail-oriented, collaborative, and committed to delivering high-quality outcomes while upholding BGIS values. Key Responsibilities Manage project documentation, including technical reports, meeting minutes, bid packages, and close-out documentation. Maintain document control systems and ensure compliance with client filing structures and procedures. Assist the team with RFIs, document queries, and project status updates. Liaise with external stakeholders, vendors, and internal teams to support project milestones. Prepare reports, agendas, and minutes for client and team meetings. Support project close-out and administration in line with client methodologies. Education, Experience & Skills Essential: High school diploma; Cert IV in Construction or relevant preferred. Minimum 2 years of administration or coordination experience, ideally in a construction/project management environment (all levels encouraged to apply). Vocational training in building systems or construction. Proficiency in Microsoft Office and experience with project management software (Smartsheets desirable). Knowledge of building systems and National Construction Codes (NCC). Strong organisational, communication, and problem-solving skills. Desirable: Additional construction or project management qualifications. Experience working with multi-stakeholder projects in large-scale environments.
