We are seeking a Client Care Coordinator who is highly organised, has meticulous attention to detail, and thrives in a fast-paced clinical environment. As a Client Care Coordinator , you'll be the welcoming face of our independent audiology practice, helping clients feel supported every step of the way. This is not your typical reception role sitting behind a desk. We’re looking for someone who loves people, takes initiative, and ensures every client receives an outstanding experience from the moment they walk through our doors. You’ll be expected to treat clients like you would your own family, engage with them from the moment they walk in and guide them through their visit. You will also be expected to maintain clear communication with our clinicians so that every appointment runs smoothly and professionally. You’ll need to think on your feet , multi-task with confidence , and learn quickly in a dynamic, supportive environment where every day is different. What Will You Be Doing? Client Engagement: Engaging with clients in person and over the phone, managing their experience to ensure they have they have a customer service experience like no other. Hearing Screening: Conduct basic hearing screenings using iPads and explain results to clients in an easy-to-understand manner. Appointment Management: Schedule, confirm, and manage appointments. Administrative Support: Assist Clinicians with administrative tasks to ensure smooth and efficient running of clinical appointments. Must have excellent computer skills. Clinic Operations: Efficiently manage the day-to-day operations of the clinic, work with clinicians and other support staff to ensure seamless day to day running of the clinic. Communicate effectively with clinicians and support staff consistently throughout the day in order to facilitate this. Software Proficiency: Learn and competently use a range of software and applications. Calendar & Mail Management: Oversee calendar appointments, dispatch and receipt of mail, hearing aids, and accessories. Client Troubleshooting: Assist with minor hearing aid repairs and provide troubleshooting support. Inventory Management: Manage stock levels for clinic requirements. Data Entry & Correspondence: Ensure accurate data entry and handle general correspondence. Financial Procedures: Manage banking, petty cash, and month-end reporting processes. Community Growth: Support Audiologists in growing our local client base. What Do You Need to Be Successful in This Role? A passion for delivering exceptional client care, be able to engage and connect with all clients. Experience in the allied health industry or a similar role is highly desirable. Strong communication and active listening skills. Self-motivation, resilience, and a high energy level. Excellent organisational and time management skills. Ability to work autonomously while thriving in a collaborative team environment. A results-oriented mindset focused on achieving the best outcomes for clients and the clinic. Strong computer skills and good attention to detail. An interest in learning about hearing aids, including basic repairs and maintenance. Exceptional customer service skills and prior experience in customer service or administration. A friendly, caring personality with a "can-do" attitude.
