The Opportunity The Project Administrator plays a pivotal support role in the effective administrative and operational coordination of the O&M (Operations and Maintenance) workstream for a large-scale Public-Private Partnership (PPP) development project. Reporting directly to the O&M Bid Director, the Project Administrator will support the bid phase and preparation activities, ensuring the timely progression of deliverables, seamless coordination among stakeholders, and efficient handling of documentation and administrative requirements. This role is ideal for an individual with strong organisational, communication, and multitasking skills who thrives in fast-paced, high-stakes environments. It requires someone with a proactive mindset and an eye for detail to support the smooth delivery of an O&M bid that meets project timelines and quality requirements. Key responsibilities: Coordinate the preparation of bid submissions, ensuring compliance with tender requirements and deadlines. Establish and maintain a centralized bid documentation repository, ensuring proper version control and accessibility. Provide administrative assistance to the project delivery team, ensuring all documentation and processes adhere to contractual obligations. Support project schedules by tracking milestones, tasks, and deliverables to meet key deadlines. Facilitate communication between internal teams, external partners, and key public/private sector stakeholders. Compile reports and dashboards to track performance metrics, contract compliance, and progress updates. Maintain an organized system for bid and project documents, ensuring security, confidentiality, and compliance with organizational policies. Manage the exchange of project data between parties by leveraging project management platforms or data rooms. Oversee the submission, review, and approval workflows for project documentation—including budgets, schedules, and technical reports. Support procurement processes during the bid phase by organizing supplier/subcontractor bid packages and tracking responses. Assist project teams in monitoring budgets, invoices, and resource allocation during the delivery phase.
