This is a Administration and Outreach Coordinator - FAAB Centre role with Macquarie University based in North Ryde, NSW, AU Macquarie University Role Seniority - mid level More about the Administration and Outreach Coordinator - FAAB Centre role at Macquarie University PRIMARY DETAIL - Salary package: $86,087 to $ $97,879 (HEW Level 6) PRO RATA Part-time (21 hours, 0.6 FTE) plus 17% employer's superannuation contribution and annual leave loading. - Appointment type: Part -time, (21 hours, 3 days per week, 0.6 FTE), 12-month fixed term role - Location: Based at Macquarie University, Wallumattagal Campus, North Ryde About the Role We are seeking an organised, collaborative and proactive Administration and Outreach Coordinator to support day-to-day Research Centre operations and help build communications and engagement for the Facilitated Advancement of Australia’s Bioactives (FAAB) ARC Training Centre. This role is ideal for someone who thrives on connection and coordination, using their people skills, organisation, and attention to detail to achieve strong outcomes for the centre, its students and partners. Key Responsibilities Working closely with the Centre Manager and the wider FAAB team, you will provide high-quality operational and engagement support across the Centre’s research, training and industry partnership activities. Your responsibilities will include: Operational administration: Process reimbursements, purchasing and invoices; assist with travel bookings; manage meeting scheduling; maintain accurate records in SharePoint/OneDrive. Finance support: track expenditure; assist with annual budgeting, support students in account management and ensure compliance with University processes. Communications and outreach: Update the Centre website and social media with agreed content; draft short news items and event posts; support production and distribution of newsletters and other Centre publications. Events and engagement: Coordinate logistics for student-led meetings, FAAB workshops, seminars and external engagements (e.g., conferences), including room bookings, catering, run-sheets and on-the-day support. General centre support: Provide responsive support to researchers, students and partners; contribute to continuous improvement of Centre processes. About you You are an experienced administrator and team-player who is driven by delivering good stakeholder service. You can balance competing priorities and keep things moving with care and accuracy. You bring: Strong organisational and administrative skills , with proven ability to manage multiple operational tasks and a high attention to detail. Good communication skills (written and verbal) and confidence engaging with students, academics, industry and external partners. Experience or interest in marketing/outreach is an advantage. Flexibility and initiative , with a willingness to adapt to changing priorities, take ownership of tasks and improve processes. Collaborative interpersonal skills and a commitment to contributing to a positive, inclusive team culture. Familiarity and experience with administration systems and platforms (e.g., finance, procurement, travel bookings, SharePoint, Microsoft Office). Relevant qualifications in business, communications or other relevant field, or equivalent experience. Experience in the tertiary education sector is desirable.
