Mater is looking for a dynamic and experienced Executive Support Officer to join the Health team as a Professional Lead. This role is a permanent, full-time role based at our South Brisbane campus as a temporary six month secondment. This role is responsible for providing high-level, confidential support to the Mater Health Office. Salary range: $124,394 - $133,248 (MCA6) per hour plus superannuation and access to not-for-profit salary packaging up to $15,900 access to many staff benefits! What you’ll be doing Exercise sound judgment to make informed decisions and promptly resolve day-to-day operational matters. Review, prioritise, and action incoming correspondence, including emails, written communications, and reports for yourself and relevant Executives. Provide high-level administrative support, including calendar management, travel coordination, register maintenance, credit card reconciliation, and catering arrangements. Act as the primary liaison between the Mater Health Office and stakeholders, managing enquiries professionally through effective screening, redirection, and timely responses. Research, compile, and format information into clear, concise reports and presentations to support decision-making. Draft and prepare high-quality written correspondence and reports for distribution to staff and key stakeholders, ensuring accuracy, clarity, and timely delivery. Coordinate meetings and workshops by preparing agendas, distributing papers, recording minutes, and following up on actions. Collaborate with team members to ensure the smooth and efficient operation of the Mater Health Office. Maintain a secure and well-organised document management system for confidential records. Drive process improvements, manage workflow, and provide procedural clarity across the administrative team. Oversee the flow of information to ensure effective and consistent communication. Lead, coach, and motivate health administrative officers to foster performance, teamwork, and job satisfaction. Coordinate backup and overflow administrative support to maintain service continuity across the health portfolios during absences and peak periods. Provide constructive performance feedback to support the professional growth of health administrative staff. About You Minimum of five years’ experience in administrative roles, preferably within an Executive Support capacity. Demonstrated ability to facilitate, influence, and make sound decisions while managing and prioritising competing demands. Proven track record in efficiently and effectively resolving issues, particularly within a health-related context. Extensive experience building and sustaining productive relationships with internal and external stakeholders, including clinical and non-clinical teams. Skilled at fostering collaborative environments built on trust, integrity, and open communication. Tertiary qualifications in a relevant discipline (desirable), with additional training or experience in healthcare administration considered advantageous.
