Position Summary We are seeking a detail-oriented and proactive Administrative Assistant to support our legal and consulting teams in managing immigration casework and client communications. This role is ideal for someone with strong organisational skills, a process-driven mindset, and the ability to thrive in a fast-paced, high-volume environment. Key Responsibilities Maintain and update immigration case management systems (e.g., Litify or similar platforms) with accuracy and consistency. Assist with administrative tasks including billing, reporting, data entry, and document management. Create and manage electronic case files. Conduct research on immigration laws, policies, and procedures. Coordinate communication between clients, legal teams, and external vendors. Manage high-volume email inboxes, including sorting, coding, and responding to non-legal correspondence. Support case initiation, tracking, and closure processes. Prepare and submit immigration-related documentation. Monitor internal systems to ensure timely processing and adherence to service standards. Assist in developing and refining internal processes to improve operational efficiency. Collaborate with attorneys and coordinators across departments to ensure seamless case handling. Qualifications & Skills 2–3 years of experience in immigration, global mobility, legal administration, or project coordination. Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); advanced Excel skills (pivot tables, VLOOKUP, charts) highly desirable. Experience with web-based case management systems (e.g., Litify), SharePoint, and Google Workspace. Strong written and verbal communication skills. Exceptional attention to detail and organisational abilities. Ability to manage competing priorities and meet deadlines in a dynamic environment. Demonstrated initiative, flexibility, and a collaborative mindset. Familiarity with Australian immigration processes and terminology is a plus.
