The Opportunity Provides high-level executive support to the Chief Executive Officer, ensuring the smooth and efficient operation of the CEO Office. This role is responsible for managing a wide range of administrative and strategic support tasks, often operating independently with minimal supervision. Success in this role requires exceptional judgement, discretion, and the ability to engage empathetically with stakeholders across all levels of the Agency. Operating in a fast-paced environment, the Senior Executive Assistant must be proactive, resourceful, and adaptable, often working under tight deadlines while maintaining a professional and approachable manner. The role demands strong coordination skills, the ability to anticipate the CEO’s needs, and a commitment to delivering high-quality outcomes. Working closely with the Director, CEO Office and other members of the CEO Office, the Senior Executive Assistant plays a key role in supporting the CEO’s objectives and broader Agency priorities. This includes managing complex scheduling, preparing briefing materials, coordinating communications, and facilitating joined-up collaboration across business units to reinforce the Agency’s strategic cohesion and culture. Key Responsibilities Support the CEO’s Activities • Manage appointments and priorities for the CEO, ensuring coordination of daily activities, meetings, briefing materials, workflow, travel, calls, and functions. • Oversee the CEO’s email inbox, identifying items for action, developing prioritisation processes, and maintaining appropriate filing systems. • Prepare and edit correspondence, presentations, reports, and documents in a concise and professional manner, aligned with the Agency’s branding framework. • Ensure documents are appropriately stored and maintained in the electronic document management system (e.g., Objective). • Coordinate domestic and international travel and accommodation for the CEO, including preparation of all supporting information. • Collaborate with the Director, CEO Office and other team members to ensure the efficient operation of the CEO Office and its supporting functions. • Review and improve existing systems and processes to enhance effectiveness and responsiveness. Assist with the Management of Key Relationships • Develop and maintain effective relationships with key internal and external stakeholders, including senior contacts across government and industry. • Support the preparation and coordination of correspondence and engagement materials. • Build a strong understanding of the CEO’s key relationships and strategic priorities to support effective engagement. Play a Leadership Role for the Executive Support Team • Act as a role model and source of counsel for the Executive Support Team, leading the development of standards, training, coordination, and process improvement. • Promote a culture of openness and continuous improvement through the constructive sharing of ideas. • Role model the Agency’s vision, values, and culture in all interactions and activities. About You Qualifications • Formal studies in Business Administration or related work experience preferred but not essential. Knowledge and Experience • Extensive experience working as an executive assistant to C level executives, preferably in the finance or investment industry. • Familiarity with online collaboration tools (MS Teams, Skype, Zoom). • Advanced user of Microsoft Outlook and Word. Good knowledge of common software packages including Microsoft 365 (PowerPoint, Excel, Visio) and document management tools (Objective is preferred). • Knowledge of Board paper management tools (Diligent is preferred). • Experience at dealing with busy senior people. • The ability to manage multiple competing priorities and manage time effectively. • Proven experience to adapt in a fluid and ever-changing environment.
