Your Position at St John of God Berwick Hospital You will be an integral member of the team working closely with hospital Caregivers. As Theatre Bookings Clerk you will be responsible for reviewing and disseminating information in a timely manner relating to patients’ procedure and admission. You will be the primary contact for clinicians, practice managers and medical representatives. The position is offered on a Permanent Part-Time basis working on a weekly 17-hour timesheet. The Position Conduct general theatre reception duties and being primarily responsible for the coordination of main theatre bookings. Entering bookings into the theatre booking system and communicating with surgeon’s rooms to ensure accurate and timely information is provided. Obtain schedule of Anesthetists for theatre lists from Anesthetic Groups including on-call roster. Obtain order of theatre cases from Surgeons Rooms as required. Receive and refer to the Shift Coordinator any additional cases received before confirming bookings and notifying clinical areas of additional bookings. Maintain the theatre list, ensuring that all data is accurate and have list finalised by 4:30pm each day. Prepare a daily surgeon’s list for the next day set-ups. Arrange Theatre requirements (e.g. X-Ray, Pathology etc.). Maintain IBA theatre module sessions. Produce confidential and other documents as directed. Take meeting minutes as directed and Data analysis as directed. Design and produce proformas for Theatre use. Maintain computer filing system and filing system including annual archiving of files. Organise and order office stationary and other requirements. You will have prior experience with hospital patient administration systems, demonstrating excellent verbal and written communication skills, strong customer service abilities, and effective time management with the capacity to prioritise and manage a demanding workload. Success in this role requires the ability to actively contribute as a team member, fostering a productive team environment. Advanced proficiency and knowledge of various computer applications, particularly the Microsoft Office suite, are essential.
