Key Responsibilities Client & Visitor Experience Provide a warm, professional welcome to all clients and visitors Handle all incoming phone calls and emails with exceptional care and professionalism Coordinate client meeting bookings and scheduling Manage secure document and payment collections/deliveries Prepare and dispatch client correspondence and documentation Office & Facility Management Oversee meeting room bookings, resolve scheduling conflicts, and manage room availability Maintain kitchen facilities and coordinate with external food suppliers Support general facility maintenance and cleanliness standards Manage mail processing, scanning, filing, and banking duties Essential Requirements Minimum 2 years administration experience, preferably in professional services Exceptional verbal and written communication skills Strong organisational abilities with keen attention to detail Professional presentation and demeanor Proficiency in Microsoft Office and ability to learn business-specific software Discretion in handling confidential information Australian working rights Desirable Attributes Experience in legal, accounting, or consulting environments Knowledge of meeting room booking systems Customer service or hospitality background Proactive problem-solving approach Ability to multitask in a fast-paced environment
