Description The Role Working alongside our Student Success Manager and HE Administration Manager, you’ll ensure our HE operations run smoothly, meet regulatory standards, and continuously evolve to keep up with best practices. After a structured onboarding and training period, the role will expand to include direct line management of the broader HE team giving you oversight of student support, academic administration, and process improvement initiatives. You will be accountable for: Governance & Compliance Collaborating with the Student Success Manager and HE Admin Manager to implement and refine HE policies, procedures, and systems. Support the preparation of TEQSA/CRICOS applications and reporting requirements, in conjunction with the Operations Manager. Ensure accurate and timely reporting of student and staff data to government agencies (TCSI, PRISMS). Prepare graduation lists for board of approval. Issuing official documents and qualifications via EQuals. Develop and monitor transition plans for updated courses. Collect, analyse, and report on student survey outcomes (internal and QILT), ensuring feedback informs continuous improvement. Assist with preparation of course quality reports for the Board of Studies (enrolments, withdrawals, cancellations). Support SAA compliance reporting to TEQSA where required. Oversee the Board of Studies (BoS) and Board of Examiners (BoE), including agenda setting, preparation of documentation, and organisation of board folders. Assist with preparing annual governance workplan reports for BoS, Academic Board, and Governance Board. Ensure internal and external audits are supported and findings addressed. Operations & Student Lifecycle Partnering with the Student Success Manager and HE Admin Manager to deliver seamless day-to-day operations Monitor processes to ensure compliance and consistency across the student lifecycle. Support management of the Student Management System (set-up of courses, intakes, study periods, and maintenance). Develop and maintain the annual HE academic calendar in collaboration with the HE Admin Manager and Student Support Manager. Manage complex student complaints and academic appeals ensuring fairness and compliance. Overseeing the Doctor of Engineering (DEng) program administration via the DEng Administrator. Coordinating monthly academic/administration meetings. Academic & Staffing Support Facilitating lecturer onboarding, approving timesheets/invoices, and monitoring teaching loads. Maintain the HE Faculty Page in collaboration with the Course Coordinators and Student Support Manager. What We’re Looking For Essential Criteria Minimum 5 years’ experience in higher education administration, compliance, or governance. Strong knowledge of HE regulatory frameworks (TEQSA, CRICOS, PRISMS, TCSI). Proven track record in process improvement, system development, and quality assurance. Stellar organisational skills, attention to detail, and ability to juggle multiple priorities. Experience in analysing complex data and presenting insights for decision making. Sound judgment, initiative, and the ability to manage complex workflows. Drive to grow into a leadership role with line management responsibilities. Strong relationship-building, communication, and stakeholder management skills. Desirable Attributes Familiarity with student management systems and HE reporting tools. Experience working with governance bodies or academic committees. Prior management, supervisory or team lead experience.
