Description About the role A senior leadership role, the Deputy Registrar is responsible for the day to day operations of the Registry, Student Services, Admissions and Enrolments and Student Success Centre, and ensuring operations are service orientated while maintaining a low risk profile, combined with absolute alignment with the relevant higher education standards, in particular Standards 1 and 2. Graduations are also coordinated by this role. With responsibilities across the student lifecycle, the Deputy Registrar maintains strong working relationships with all stakeholder departments at ICMS, from recruitment, marketing, academic, quality assurance and operations, through to IT and the executive office. From the student’s perspective, the Deputy Registrar has responsibilities for a range of key areas from their admission and enrolment, advice and support across their journey and schemes to promote their wellness and the prevention of sexual harm. Across the lifecycle the Deputy Registrar ensures the accurate collection and management of all student personal, and academic, data related to their programs, progression and completion. The Deputy Registrar is the Chair of the Board of Examiners; and a member of the Learning and Teaching Committee (LTC) and the Course and Subject Committee (CSC). To support the capture, and accurate reporting, of student data, this role is the student management system (Oracle Peoplesoft) functional lead, and provides operational guidance on its structure, as well as on student and academic related administrative matters across the lifecycle. The Deputy Registrar also coordinates process improvement initiatives, ensures accurate student records data for internal and external reporting, and oversees major projects involving student systems, administration and student records data. In this role, you are accountable for: Continuous improvement of Student Life Managing the Admissions and Enrolments Manager and team to ensure the admissions, enrolments and timetabling processes are conducted with efficiency, integrity and accurately Student Centric Service and Support from orientation to graduation ensuring an engaging, personalised service dedicated to students’ learning needs, interests, professional aspirations and cultural backgrounds Student Systems and Data - management, business support and continuous improvement of business processes and information systems related to student course and data Ensuring Student Administration Services undertaken by the student service and support teams are efficient, timely, and accurate and aligned with regulatory requirements and relevant policies and processes. Promoting Student Retention and Progression by ensuring that institutional processes are designed to support student satisfaction, progression, completion and graduation of students Data Management, reporting and Compliance Academic Administration including Chairing Board of Examiners, representing the Registry at Course and Subject Committee (CSC) and Learning & Teaching Committee (LTC) and present all Student and Academic Administration related items to those Committees. Management of ICMS PRISMS environment and data Supporting internal stakeholders in fostering student engagement with formal and informal extra and co-curricular activities and structures Overseeing institutional support strategies for students and their wellbeing Ensuring broader strategies align with best-practice approaches to prevent and respond to incidences of gender-based violence. Deputising for the Registrar as the functional lead for student administration, data and academic data About you As the successful candidate, you should be able to demonstrate the following selection criteria in your application: Postgraduate degree in a related field to the role and sector Evidenced experience in managing education operations across the student lifecycle A comprehensive knowledge of higher education regulation and accreditation, and relevant legislation, preferably in the Australian context.
