Your Role at St John of God Midland Hospital We are seeking a highly organised and proactive Outpatient Team Leader to join our busy private and public hospital team. In this key leadership role, you will be responsible for coordinating the preparation of departmental rosters, including managing both planned and unplanned leave relief to ensure consistent coverage across all reception areas. You will provide high-level clerical support to the Outpatient Department while supervising and guiding daily clerical activities. A critical part of your role will be to monitor and support clerical caregivers, manage performance and conduct matters, and address caregiver complaints through appropriate disciplinary and performance management processes. Your ability to lead with professionalism and foster a collaborative team environment will be essential to maintaining efficient and patient-focused administrative operations. The Position Supervise and co-ordinate daily clerical activities, including monitoring and supporting clerical caregivers. Effectively manage caregiver disciplinary matters, including caregiver complaints and performance management programs. Assist the Outpatient Coordinator in recruitment and training of clerical caregivers. Assist the Outpatient Coordinator in performance appraisals. Receive new referrals, enter the information into the Patient Administration System (WebPAS) and have all referrals assessed by clinicians. Monitor and action Outpatient requests from the Clinical Information System (CIS). Create and maintain patient information in the Patient Administration System in a timely manner. Ensure that appropriate action is taken for appointments including arranging tests and the availability of all patient documentation prior to the appointment. Ensure all appointments are correctly booked into WebPAS and patients are appropriately notified of their appointments. Contribute towards the delivery of customer-focused services. Receive all Outpatient-related telephone calls, evaluate and initiate any action required. Collect, control and direct messages and Health Information Services to nursing and medical staff. Liaise with medical, nursing, allied health and support services staff to ensure efficient running of clinics. Position Requirements To succeed in this role, you will demonstrated experience in varied clerical and reception duties within a customer-focused environment, including accurate data entry and use of medical terminology. Proven ability to coordinate departmental rosters and manage leave relief planning to ensure consistent service delivery, will be essential for this role. You will possess experience supervising a large team, including handling HR matters such as performance management and caregiver support. Strong verbal and written communication skills, with the ability to work flexibly, use initiative, and prioritise tasks independently in a team-based setting. This role requires strong leadership, excellent communication skills, and the ability to manage multiple priorities in a fast-paced healthcare setting.
