What you'll do Manage and provide a high level of confidential executive support and coordinate information and advice to the Executive including diary management, prioritisation and escalation of urgent requests in a timely manner and the coordination of approval paperwork. Manage the flow of incoming and outgoing correspondence for the Executive, prepare draft correspondence, whilst also being required at times to assist with the whole of the organisation correspondence coordination or preparation of specific correspondence. Provide secretariat support to key executive meetings, including scheduling of meetings, agenda preparation, confidential minute taking and distribution, and follow up actions that arise from the meetings. Manage the corporate and administrative duties necessary for the efficient operations of the office which includes implementing, monitoring and maintaining administrative, human resource and financial procedures and practices to ensure compliance with relevant Departmental policies. Manage the Medicare registration and renewal process for the following pathology services; Approved Pathology Authority (APA), Accredited Pathology Laboratories (APL), Approved Pathology Practitioners (APP) and Approved Collection Centres (ACC). About you We are searching for someone who has: High level executive support skills including extensive diary management and coordination of a high volume of documentation through the approval process in a fast-paced environment. Exceptional time management and organisational skills with the ability to establish key priorities and multitask as appropriate to meet deadlines, as well as a strong attention to detail. Demonstrated high level interpersonal, verbal and written communication skills including tact, diplomacy and confidentiality when liaising with senior executives, staff, and other stakeholders. Displays initiative with minimal supervision and as well as an ability to work in a team environment developing effective relationships with other team members, key stakeholders and customers. Strong knowledge of key Departmental policies and procedures and the ability to provide clear advice to the Executive and staff. Why work with us?
