About the Role An opportunity is available for an accurate and reliable Trade Mark Administration Assistant to join our Trade Mark team on a fulltime basis working in our Sydney, Brisbane, or Melbourne office. The key focus of this role will be to provide administrative and data entry support across a range of Trade Mark functions including but not limited to database maintenance, renewals and docketing. This is a fast-paced role, with a high volume of tasks, working to tight deadlines on a daily basis. Some of the key responsibilities are listed below. Database Management: Accurately enter and update trade mark data in the internal S&F system, including new applications, searches, oppositions, ownership changes, and takeovers.Renewal Administration: Manage trade mark renewal reminders, prepare cost estimates, and handle client correspondence related to renewals.Filing Support: Prepare draft documentation for trade mark filings in Australia, New Zealand, and internationally, including application forms, client reports, and instructions to agents.Client & Agent Correspondence: Draft internal and external emails/letters to clarify or confirm trade mark details and instructions.Monitoring & Reporting: Track progress of filings and renewals, ensuring accurate database entry, timely reporting, and billing to clients.General Support: Perform additional duties as required, aligned with the responsibilities of the role. About You Prior experience in Intellectual Property highly desirable but not essential.A high degree of IT literacy with the ability to learn new software programs quickly.Familiarity with Inprotech or similar IP software highly desirable.Strong attention to detail.An excellent customer service approach (internal/external clients).Self-motivated with the ability to work with limited supervision.
