It is a large complex organisation which, because of the nature of its operations, is constantly subject to public scrutiny and accountability. About the role The IS&T Contracts and Assets team is responsible for maintaining and managing high quality records, regarding the department’s IS&T monitored assets and software/license registrations, providing lifecycle management, audits and cost reporting. The role will build strong relationships with Desktop and Network support officers, Help Desk staff, procurement staff, third party vendors and Services throughout the department and works collaboratively with internal and external stakeholders to ensure quality outcomes. The anticipated services that would be covered by this role include: Responsible for support on coordinating IS&T asset management activities, by: Working closely with the relevant IS&T team to track purchases and ensure assets are accurately recorded in the relevant procurement, finance and asset databases. Supporting the coordination of software purchases for IS&T. Accurately recording IT assets in relevant databases and ensuring movements and changes are accurately updated. Support software provisioning and licencing, by: Working closely with other teams within IS&T to ensure customers receive a seamless quality service. Ensuring software licences are monitored and reporting requirements met. Ensuring that any recurrent charges for software provision are brought to the attention of the Contracts Administrator. Ensuring review of use for value prior to undertaking renewal processes. Manage asset databases, by:The continued administration and maintenance of asset databases. Accurately recording of information into relevant databases including Hardware for desktop and lap-top computers, LAN servers, and associated peripherals (e.g. printers, faxes, scanners, external hard-drives / burners, projectors). Manage effective relationships with suppliers and partners including technical liaison, monitoring performance and supervising any on-site resources. Build and maintain effective relationships with staff across IS&T to ensure a seamless quality IS&T service is provided to the department. Desirable Characteristics Proven experience on managing ICT assets databases or other assets, such as data entry of hardware for desktop and lap-top computers LAN servers, and associated peripherals. Demonstrated experience in responding to enquiries from various sources regarding technical or process issues. Proven experience with the use of asset monitoring and reporting tools (e.g Hardcat, etc.) Knowledge of admin/finance support regarding charges for software provision. Demonstrated written and oral communication skills relevant to the work of an ICT Assets Support such as writing and presenting reports. High level of attention to detail and customer service. Understanding of the principles of software license management including the Microsoft Licensing Agreement Demonstrated experience on preparation of accurate and reliable reports of IT assets, hardware and software.
