Your Role at St John of God Subiaco Hospital We are seeking a Personal Assistant to join the executive department on a full-time, 12-month fixed-term contract. The successful candidate will provide high-level secretarial and administrative support to designated members of the Executive Team as assigned. The Position Arrange meetings, including preparation of agenda and minutes and distribution of same, plus ensuring catering, secretarial, teleconferencing / videoconferencing, and other support services as required. Complex diary and events calendar management. Communications management including telephone, email, mail. Undertaking word processing, spread sheeting, and PowerPoint functions as required. Organise travel, vehicle hire and reserve accommodation directly with preferred suppliers. Provide administrative support to the Managers within the Directorate as required Undertake projects, as instructed by the Directors, and use own initiative to drive projects from commencement to completion Development of marketing and promotional materials such as newsletters, posters and flyers Manage day-to-day office management of equipment and stationery as well as maintaining the ‘bring up’ system and filing system for relevant Directors. Liaise with and maintain effective and cooperative communication with Directors, Managers, Caregivers, Group Services Executive and external organisations. Meeting and greeting visitors for members of the Executive team where appropriate as well as creating a welcoming and hospitable environment both personally and via telephone and written communication. You will have extensive experience in a comparable role, providing support at an Executive level, along with highly developed interpersonal and negotiating skills, with a sound ability to develop rapport with stakeholders. To succeed you will be possessing advanced written communication skills, including correspondence and agenda preparation, a commitment to customer service with the ability to problem solve and discretion and confidentiality in all matters.
