About the opportunity We have a very exciting opportunity for a Governance & Leadership Board (GLB) Secretary to join our Maritime team. Reporting to our Commercial Manager, this role is responsible for providing secretariat and governance support to the GLB Chair and its Board members and undertaking Commercial / Contracts support in the Commercial function. The incumbent will ensure that meetings are well organised, documented, and conducted in a compliant manner. Furthermore, you will become a subject matter expert and provide guidance to the GLB on CCA governance requirements and obligations to ensure good governance practice. This role can be based out of our Mawson Lakes or Osborne Shipyard offices in SA. We embrace flexible work arrangements at BAE Systems Australia such as a 9-day fortnight and hybrid working. Key responsibilities Establish and coordinate Board and subcommittee meetings including scheduling, logistics, technology requirements and catering Prepare and distribute agendas, pre-reading material, reports and briefs in a timely manner, including liaison with stakeholders Liaise with GLB Chair, Board Members and stakeholders to gather, review and finalise board submissions Attend all meetings and take accurate minutes and circulate for review, finalisation and endorsement Maintain an accurate and up-to-date decisions and action items register and work with accountable members to enable you to provide status updates Familiarise yourself with the governance, contractual requirements and obligations to enable you, with support from the CSI-IPT Commercial Manager, to give guidance to the GLB along with ensuring the necessary governance and contractual obligations are met Uphold standards of confidentiality, integrity, and professionalism in a complex, multi-stakeholder environment Provide Commercial support to the CSI-IPT Commercial Manager with tasks as required About YOU Previous experience in providing Secretariat and / or Executive Officer level support to a Board or Executive Governance Body Have previously facilitated Board level meetings, including the development of schedules, agenda setting and minute taking The ability to work effectively and collaboratively with Board Members and stakeholders Previous Commercial / Contracts experience (desirable but not essential) Ability to use and adapt written and verbal communication skills to suit a variety of different audiences Results driven, pragmatic, and agile in work practices to deliver meaningful outcomes Excellent written communication and documentation skills, including preparation of agendas, minutes, and governance reports and board papers Ability to balance conflicting priorities to deliver against customer and business requirements, with appropriate stakeholder management Intermediate MS Office skills, especially in Word, Excel and PowerPoint Previous experience working in a Defence Industry environment (desirable) Eligibility for a Negative Vetting Level 1 Defence security clearance International Traffic in Arms Regulations (ITAR) are applicable and as such, your nationality may be a factor in determining your suitability for this role We believe in hiring for potential, we know that some candidates hesitate if they don’t tick all the boxes.
