Position Summary Reporting to the Project Services & Controls Manager, the Document Control Administrator is a pivotal role in embedding document control processes across the organisation’s projects. , this role is responsible for managing all aspects of document control, including the receipt, storage, retrieval and circulation of documents, revision control, review coordination, external submission and distribution control across the full lifecycle of project activities, including development, engineering, procurement and construction activities. This role will require close liaison with project delivery contractors to establish and monitor compliance their document control processes. Key Responsibilities Establish and manage the Document Management System (Aconex) and contractual correspondence system using Aconex or other Squadron nominated systems. Receive, review, and distribute project documentation in accordance with company standards. Ensure proper version control and document tracking. Ensure compliance with document management policies and procedures. Manage documentation for archiving/handover to Operations team. Expedite the document review process. Train staff and contractors on document control procedures and systems. Submit timely reports and prepare presentations as required. Experience and knowledge High School Certificate or equivalent experience in Business or Administration. Proven experience in Document Control in a fast paced environment. Establishing Document Management Systems for use by internal and external parties. Experience with Document Management Systems on large industrial projects with multiple contractors. Proficient with Microsoft Office software. Strong attention to detail and organisational skills. Excellent communication and interpersonal skills. Ability to work independently and manage multiple tasks. Experienced with Aconex on large industrial projects preferred. Ability to work collaboratively within and across business units. Strong interpersonal skills with the ability to engage and negotiate with stakeholders on different levels. Ability to maintain confidentiality and handle sensitive information.
