13 weeks contract with a possible extension Attractive hourly pay rate $41.47/hour super Work location - Penrith PRIMARY PURPOSE OF THE ROLE: You will be responsible for comprehensive high level executive management support to the Manager, Employee and Industrial Relations. The role is complex and challenging and plays a proactive integral part in ensuring administrative responsibilities are undertaken in an efficient, professional, and timely manner whilst maintaining a high level of confidentiality. KEY ACCOUNTABILITIES: Provide high level executive and case management support to the manager, including coordinating all correspondence and briefings within variable deadlines and appropriate handling of documents in a high-pressure industrial /legal environment. Prepare various documentation including presentation material, conference papers, memoranda, letters, internal briefings, reports, etc as well as prepare agendas and other papers including draft terms of reference for meetings and committees chaired by the Director. Record minutes and prepare agendas for meetings and ensure follow-up action is taken on matters determined. Diary management, screening enquiries including reviewing and prioritising incoming and outgoing communication for appropriate action. Coordination of all office records - management of highly sensitive/ confidential information and tracking of all documentation using Content Manager documentation system and following up of outstanding matters requiring responses from stakeholders. Undertake the drafting of employment law & policy-related letters and related documents. Prepare and file legal documents, including UCPR court forms and correspondence. Manage legal files, maintain case records, and track deadlines. Responsible for managing and maintaining the central register of court and tribunal cases. ESSENTIAL REQUIREMENTS: Previous proven experience as a Legal Assistant, Paralegal or senior Legal Secretary is essential. Advanced proficiency in preparing legal documentation (memorandums, agendas, minutes, letters, briefings, reports, presentations) Experience using electronic records management systems. High level of organisational skills and problem-solving skills with the ability to prioritise multiple tasks with discernment and flexibility. Ability to travel within the LHD is required. Knowledge of employment law, regulations & policies is preferred but not essential.
