Develop your skills within a reputable government department The Opportunity We are seeking a highly organised and detail-oriented Project Contract Administration Officer to deliver quality project and contract administration services that support Project Managers, Superintendents, and Superintendent's Representatives. This role plays a critical part in ensuring compliance with contract conditions, internal policies, and procedures while maintaining accuracy in project records and financial performance. About the Role: You will be responsible for providing administrative and business support to the team and their customers, ensuring a high standard of service and operational efficiency. Key Responsibilities: Enter and maintain planned and approved project budgets. Conduct monthly billing activities, including reviewing unbilled costs, validating billing files, and resolving billing issues. Review and correct system data, prepare journals and credits, and implement necessary updates. Generate procurement requisitions and process accounts for payment within critical timeframes, resolving open purchase orders. Validate contractor invoices, follow up on discrepancies, and ensure accuracy. Maintain high standards and accuracy in compiling documents, reports, and record updates across business systems and Microsoft Office. Participate in regular program update meetings to ensure current and accurate data for reporting. Identify and report issues of poor or inaccurate work order profitability, ensuring data reflects true project performance. Maintain records in line with record management procedures. Reconcile and close projects and work orders in a timely manner. Process and record key information in corporate systems. Prepare timely and accurate reporting for internal and external stakeholders. Recommend and implement improvements to administrative processes to enhance service delivery. About You You are an organised and proactive professional with a keen eye for detail, strong numerical skills, and experience in contract and project administration. You can manage competing priorities, meet deadlines, and work collaboratively with project teams and stakeholders. Proficiency in corporate systems and Microsoft Office is essential. Key Requirements Demonstrated experience in project and contract administration. Strong financial and data management skills. Proficiency in business systems and Microsoft Office Suite. Ability to interpret and work within contract conditions and organisational procedures. High-level attention to detail and accuracy in work.
