Claremont location / free parking / uniform provided 4 days per week / Monday - Thursday Supportive and friendly team environment We require a Medical Secretary to join our team for our very busy Pain Clinic located in Claremont working closely with allied health professionals, psychologists, hospitals and other medical specialists. This is a 4 days per week position however there is some flexibility around start/finish times. Essential Criteria: Demonstrated previous medical secretary experience, preferably in a specialist practice Self-motivation, problem solving skills and the ability to work cohesively in a small team environment essential Proficient in GENIE Medical Software experience including billings, bookings, referrals, follow-up appointments Downloading, formatting, proof reading and sending out typed medical correspondence Ability to multitask Ability to adjust and adapt to practice requirements Proficient in the use of Microsoft Word and Microsoft Outlook Provide excellent customer service to patients, other providers and hospital staff as well as excellent communication skills within the office team environment Maintains a high level of written and verbal communication skills. This includes a professional telephone manner and written email communications Ability to work in Australia Proof of COVID-19 vaccination Key Responsibilities: Scheduling and Appointments: Manage patient appointments Manage theatre bookings Confirm patient appointments and rescheduling, as necessary. Coordinate with other healthcare providers for referrals and follow-ups. Patient Records Management: Ensure patient files are up-to-date and accurately maintained. Handle both paper and electronic medical records. Enter patient data, test results, and updates into systems. Communication: Answer phones, emails, and other forms of communication. Relay messages between patients and medical staff. Coordinate with insurance companies regarding patient coverage, billing, and claims. Running of busy clinic at front desk Billing and Insurance: Assist with processing medical bills and insurance claims. Ensure the correct coding of medical procedures for billing purposes. General Office Administration: Order office supplies and manage inventory. Handle incoming and outgoing mail. Patient Interaction: Greet patients, guide them through the registration process. Provide patients with necessary forms and information. Ensure confidentiality and privacy standards are maintained Documentation and Correspondence: Prepare patient correspondence and other documentation as required. Type letters, reports, and other important documents for medical staff. Supporting Medical Staff: Assist doctors, nurses, and other medical professionals by providing administrative support. May assist in preparing reports or helping in the organisation of meetings and conferences.
