About the Role Join an energetic local government team as an Executive and Governance Administration Support Officer, providing critical administrative and governance support to the Executive Management Team, including the Chief Executive Officer, Director Corporate Services, Director Infrastructure Services, and Director Development and Community Services. This 6-month contract role is perfect for a highly organised, proactive individual with a passion for delivering exceptional executive support and driving efficient business operations. Key Responsibilities Executive Support: Coordinate meetings, events, and functions, including logistical and hospitality arrangements. Prepare and distribute agendas, submissions, correspondence, briefing notes, presentations, and reports in a timely manner. Manage the Executive Management Teams: correspondence, prioritising responses and actioning as needed. Research and prepare high-quality documents, including the Councillor Bulletin, executive briefing notes, memorandums, Council reports, and the CEO's Performance Report. Draft and process correspondence, requests, complaints, and presentations for EMT review, ensuring timely updates. Provide secretarial support, including diary and calendar management, travel arrangements, room bookings, and data entry. Ensure procurement processes align with the policies and are completed efficiently. Compile statistics and data for various reporting requirements. Streamline work processes, integrating data and technical requirements with business systems to enhance operational efficiency. Attend meetings, including outside core hours (e.g., EMT and Leadership Team meetings), and take accurate minutes. Maintain corporate branding in all communications, updating document formatting as needed. Manage corporate records using the record-keeping system. Document and maintain the procedures and practices. Handle monthly credit card reconciliation, collecting receipts and invoices. Provide general administrative support, including filing and drafting correspondence on behalf of the EMT. Liaise professionally and confidentially with the Mayor, Elected Members, employees, senior government officials, Members of Parliament, and key stakeholders. Customer Service and Problem Solving Support customer service improvement projects by liaising with relevant parties and gathering data. Respond to customer inquiries (in person, by phone, email, or correspondence) About You Proven experience in executive support, administration, or governance roles. Exceptional organisational skills with the ability to prioritise tasks and meet deadlines. Strong written and verbal communication skills, with a keen eye for detail. Ability to handle confidential information with discretion and professionalism. Proficiency in Microsoft Office Suite and record-keeping systems. Must Have Local Government Experience Knowledge of procurement processes and corporate branding standards is an advantage. Flexibility to attend meetings outside core hours when required.
