Reporting to the Operations Centre Supervisor you will be responsible for coordinating and managing flight & maintenance crew rosters by collaborating with various departments to achieve optimal operational efficiency, regulatory compliance, and seamless service delivery. Responsibilities of the role include: Collaborate effectively with the Flight Operations and Maintenance Teams to ensure rosters accurately reflect resource needs and meet client requirements. Manage and coordinate staff rosters for all bases within Air Maestro in accordance with the FRMS, EBA and contractually operational requirements. Ensure the roster is completed and available to staff in a timely manner that meets any EBA requirements. Liaise with Pilots, Engineers and Tech Crew regarding changes and updates to the roster. Collaborate with Flight Operations, Maintenance and Travel to avoid roster conflicts with training and simulator sessions. Obtain approval from Head of Flights Ops (Chief Pilot) and Director of Technical regarding significant changes to rosters, potential gaps and changes incurring additional costs such as but not limited to Overtime. Maintain Air Maestro to ensure that Pilots, Engineers and Tech crew details are current and all qualifications are monitored to remain within currency periods. Managing and uploading required documentation. Identify improvements in roster/scheduling processes, in collaboration with the BCM’s and SBE’s/SBP’s and implement changes as required. Support the travel and accommodation requirements for Pilots, Engineers and Tech Crew to meet EBA and Company guidelines including relocation. Generate and maintain audit-ready records for aviation authorities. To be considered for this role, you will need: A certificate or tertiary qualification in Training Coordination or a related field (highly desirable but not essential). Demonstrated experience in management and coordination of training. Knowledgeable in Pilot and Engineering qualifications and aircraft airworthiness standards as contained in PHI’s Flight Operations Manual. Experience working in a fast-paced operational/customer service environment within an Aviation, Emergency Service, Defence, Mining, or Oil and Gas field or similar. Familiarity with IT systems – Workday, Air Maestro, RAMCO, Coruson, SharePoint or similar. High proficiency in Microsoft Office 365. Experience working in rotary-wing operational environment (highly desirable but not essential). Maintain the confidentiality of information and protection of information according to privacy agreements. About you: Must be able to work in a team where duties and projects are shared between other coordinators. Strong multitasking and decision-making skills, with the ability to prioritise tasks to ensure effective sequence of operational activities. Maintaining focus and accuracy to ensure all staff including pilots and engineers are ‘current’ to perform their tasks. Proactive and self-motivated, with the ability to anticipate needs, take initiative, and take ownership of tasks without requiring direction. Proven ability to communicate clearly, concisely, and professionally with staff and clients, while maintaining confidentiality and professionalism in high-tempo situations.
