About the role This role provides essential administrative support to the Operations team by coordinating business administration tasks related to services, bookings and billing. Reporting directly to the NDIS and Specialised Services Manager, the position fosters strong working relationships with various members of the Operations team, including Managers, Coordinators, and support staff across all programs and service areas. The primary responsibility of this role is to ensure the timely and accurate billing of all client services and supports, while maintaining compliance with NDIS requirements and contributing to effective revenue management. Responsibilities include: Process NDIS payment requests through the NDIA portal and manage service bookings. Access PRODA for service bookings and accurate billing for NDIA-managed clients. Ensure timely and accurate invoicing for services rendered to NDIS customers and Plan Managers. Verify attendance files and reconcile billed hours with service delivery. Investigate billing errors, perform necessary corrections, and ensure compliance with billing timeframes. Address inquiries about NDIS billing and escalate serious issues when needed. Maintain accurate records of Payment Request Trackers and other financial logs. Assist in preparing NDIS payment request data on a weekly, monthly, and yearly basis. Collaborate with the finance team on payment remittance and reconciliation. Provide administrative and financial support, including purchase orders and client billing. Promote adherence to NDIS Practice Standards, Code of Conduct, and Quality and Safeguarding Framework. Maintain a thorough understanding of NDIS pricing and funding arrangements. Uphold data integrity and ensure client privacy and security. Act according to internal policies, legislation, and NDIS Terms of Business. About you We are looking for someone who is passionate and experienced in an administrative or finance position with high level organisational skills with the ability to prioritise and effectively manage workload to meet deadlines and achieve results. As well as well-developed oral and written communication skills with the ability to develop and maintain positive relationships and work collaboratively with a range of diverse stakeholders. You will also need to hold (or have the ability to obtain) a current Ochre Card, Criminal History Check, NDIS Worker Screening Clearance, First Aid certificate and an NT Drivers Licence.
