The Role: The Team Coordinator works with the Executive Officer and across all of MSIAP’s departments to contribute to the smooth running of the MSI Asia Pacific Team, the achievement of annual targets and to ensure compliance to key standards, including Department of Foreign Affairs and Trade (DFAT), Ministry of Foreign Affairs and Trade (MFAT) and Australian Council for International Development (ACFID), through provision of high-quality support to Melbourne-based team members and our overseas partners. This role is critical to ensure smooth and efficient communication and collaboration across the team. The Team Coordinator reports to the Executive Officer and directly engages with other members of the senior management team. Functional areas are primarily divided between administration and broader support to the programs team, and support to MSIAP’s governance and compliance regimes. The Team Coordinator will engage with the regional team, with our corporate services provider, and MSI Australia. Key Responsibilities: Team Support: Systems & Administration: Maintain and improve administrative systems for organisational efficiency; manage procurement, vendor relationships, and office equipment including asset registers. Office & Executive Support: Liaise with corporate services for office management; support the Executive Officer with administrative tasks, scheduling, and communications. Team Coordination: Provide administrative support across teams, including recruitment, onboarding, and training coordination of consultants. Meetings & Communication: Organise internal and project-related meetings, including agendas, minutes, and materials; support internal communication and team engagement. Information & Records Management: Manage intranet and SharePoint content; maintain filing systems and liaise with IT service providers. Travel & Security: Coordinate travel logistics, maintain records, and ensure compliance with safety and donor protocols; support security and OHS in collaboration with People and Culture. Events & Ad Hoc Support: Provide logistical support for domestic and international events and offer flexible assistance to the Executive Officer and broader team as needed. Governance and Compliance: Board Coordination & Governance: Organise MSIAP Board meetings, prepare papers, take minutes, track actions, and support Board members with inductions and development. Compliance & Accreditation: Serve as secretary of the Compliance Working Group, supporting DFAT accreditation and ensuring ongoing compliance with ACFID, ACNC, and ASIC requirements. Risk & Policy Management: Chair the Risk Management Working Group, maintain risk registers, track remedial actions, and manage the policy register and review processes. Reporting & Internal Compliance: Lead ACFID reporting processes and support regional coordination of MSI internal compliance documentation and HR due diligence tracking. Essential Attributes, Skills, Knowledge and Experience Unequivocally pro-choice Proven experience in administration and coordination within dynamic office settings, including finance and project support. Skilled in developing and managing organisational processes and converting data into practical, usable formats. Familiarity with corporate governance, project management cycles, and knowledge of reproductive health care (desirable). Highly proficient in IT and communication Strong planning, problem-solving, and interpersonal skills. Detail-oriented, discreet, and effective at managing priorities in dynamic environments.
