Job Description About the role Reporting to the Senior Manager – Retail & Property Tenancy Delivery, the Tenancy Facilities coordinator will support the tenancy delivery team and collaborate with various stakeholders including tenancy delivery managers, facilities and asset management, project managers and contractors to ensure project sites are prepared to hand over to Tenancy Delivery Management. You will be responsible for coordinating tenancy site preparation across Retail and Property and prioritise tenancy investigations and audit existing site conditions to ensure landlord provisions are operational and compliant. Please note this is a 12-month fixed term contract In this role, you will have the opportunity to Follow up on tenancy services investigations, dilapidation reporting, and facilities issues. Coordinate landlord base building works, services quotes, and makegood works for vacant sites. Schedule and coordinate project meetings, site visits, inspections, and onsite investigations. Facilitate communication between project team members and stakeholders through updates and reports. Manage data collection for tenancy fit outs and support asset database. Assist with planning, organising, and executing multiple projects, including defit and hoarding consent lodgement. Maintain project documentation, including schedules, budgets, and contracts. Prepare cost estimates, monitor budgets, expenses, and invoicing. Identify project risks, develop mitigation strategies, and ensure compliance with safety regulations. Foster positive relationships with tenants, stakeholders, and contractors. Identify process inefficiencies and propose solutions. Coordinate tenancy hand backs and ensure end-of-lease obligations are met. About You Excellent communication and interpersonal skills. Ability to work independently, prioritise tasks, and meet deadlines. Proactive and enjoys collaborating across teams. Previous experience in property facilities management or retail tenancy coordination. Industry experience in retail, commercial, services, or aviation sectors. Strong customer focus and service delivery standards. Exposure to construction or project management in an operational environment. Strong stakeholder engagement and problem-solving skills. Excellent organisational and multitasking abilities with attention to detail.
