Dokotela Pty Ltd (Dokotela) is an Australian-owned company, providing telepsychiatry service across Australia by connecting patients with specialist doctors and other healthcare professionals through a secure online booking and video-conferencing platform. Our company offers telehealth appointments with psychiatrists, geriatricians and psychologists. We partner with doctors who have significant clinical and medical practice to ensure that patients receive the highest quality of service. We have been operating in Sydney since 2017, focused on making mental healthcare accessible to all Australians through telehealth services. We are currently looking for a Full-Time Information Management Coordinator to join our team. Below are specific duties and responsibilities of the role: Referral & Appointment Information Coordination Review and triage incoming referrals for accuracy and completeness in accordance with clinical guidelines. Extract, classify, and process referral and appointment data to facilitate accurate patient scheduling. Conduct regular checks on system data to ensure readiness for upcoming clinics. Analyse appointment trends to identify inefficiencies and recommend improvements. Patient Communication & Information Management Communicate with patients, GPs, and specialists to obtain or clarify information required for care delivery. Manage and document all incoming patient correspondence via SMS, email, and calls in the practice management system. Monitor patient care timelines and issue appropriate reminders for assessments, pathology, or referral updates. Assist patients with completing pre-appointment documentation and ensure accurate record integration. Health Documentation & Records Management Upload and index medical documents and patient records in compliance with data integrity protocols. Address and correct file or reporting errors, ensuring accurate and timely reissuance of critical documentation. Uphold confidentiality and data governance standards in line with Australian privacy regulations. Systems Collaboration & Continuous Improvement Collaborate with team members to optimise internal systems for data flow, access, and task tracking. Participate in audits and contribute to quality assurance initiatives targeting system efficiency and compliance. Qualifications and Skills: Relevant qualifications; At least 1 years solid work experience; Excellent organisational and time management skills. High-level interpersonal and communication skills to interact with clinicians, patients, and administrative teams. Demonstrated ability to contribute to continuous improvement processes. Ability to handle sensitive information with discretion and professionalism. Salary: This is a full-time position (minimum 38 hours per week) with a competitive salary range between AUD70,000 – AUD 78,000 annum, plus superannuation. Why Join Dokotela?
