Description Position Summary: The Receptionist / Administration Support is responsible for the delivery of high-quality front desk services, managing organisational vehicle and property-related tasks, handling enquiries, and supporting day-to-day administrative operations. This role is crucial in maintaining efficient office and fleet processes and supporting a professional and welcoming environment for staff, clients, and stakeholders. Key Responsibilities: Reception & Communication Greet and assist all clients, visitors, and staff in a professional and friendly manner Manage incoming phone calls and enquiries, directing them to the appropriate staff member Monitor general inboxes and ensure timely responses to enquiries Maintain the cleanliness and presentation of the front desk and common areas Vehicle Management Maintain accurate vehicle usage logs (including date, driver, destination, purpose, and odometer readings) Schedule regular servicing and coordinate vehicle maintenance as required Record and track fuel card usage, report discrepancies or concerns Oversee vehicle cleaning and presentation standards Report vehicle damage or issues to management promptly Maintenance Coordination Support the coordination of minor property maintenance tasks Schedule and follow up on maintenance requests with contractors Assist in property inspections and document findings as required Administrative Duties Archive documents in accordance with organisational procedures Maintain accurate and up-to-date records in both hardcopy and electronic formats Support the team with general administrative tasks (scanning, filing, data entry, etc.) Assist with preparation of documents, reports, and internal communications Monitor office supplies and assist with ordering as required Selection Criteria: Essential: Valid Australian Driver’s Licence Previous experience in reception, customer service, or administrative support Good time management and multitasking abilities High attention to detail and strong organisational skills Professional verbal and written communication skills Proficient with Microsoft Office and general computer use Desirable: Experience working in the disability, health, or community services sector Familiarity with vehicle logs, basic property maintenance tracking, or compliance systems Knowledge of NDIS principles and participant rights Compliance & Other Requirements: NDIS Worker Screening Check NDIS Worker Orientation Module completion
