They are currently seeking a full-time Information Management Coordinator to join their team and play a critical role in overseeing data integrity, improving internal processes, and supporting financial advisers in document and information preparation. Position Responsibilities and Tasks: Coordinate and maintain accurate client and business records using platforms such as Xplan and Salesforce Enter and reconcile client data across internal systems, ensuring accuracy and consistency Prepare implementation documents and assist with data retrieval from third parties such as fund managers and share registries Audit data and reports produced by offshore teams for accuracy and compliance Generate insurance quotes and proactively follow up with providers to resolve discrepancies Prepare fortnightly commission statements and other reporting documentation for financial advisers Maintain organised and secure document filing and support reception and administrative functions as needed Prepare meeting rooms and maintain accurate minutes for adviser and executive meetings Create login credentials for new platform users and support internal onboarding tasks Contribute to team-based projects to improve operational efficiency and client service delivery Provide cross-team assistance where required Qualifications and Skills: Essential: A Bachelor's degree or higher in Business Administration, Finance, or related discipline Minimum of 3 years' relevant experience in data or information management within a professional services environment High level of attention to detail and organisational ability Strong interpersonal and communication skills Demonstrated proficiency in Xplan, Salesforce, or similar CRM and planning software Ability to work independently as well as collaboratively in a team setting Strong analytical and problem-solving skills Desirable: Please note: The successful applicant will be expected to communicate regularly with our offshore team members based in the Philippines. Therefore, proficiency in Filipino (Tagalog) or previous experience working with Filipino-speaking teams will be considered an advantage. Previous experience in the financial services industry Exposure to compliance, insurance quoting, or financial planning processes Experience working with offshore teams Understanding of client confidentiality and regulatory data requirements Salary: This is a full-time position with competitive remuneration from $77,000 to $80,000 p.a. plus superannuation for a 38-hour work week.
