Your part in the Blue Care Team Our dynamic retirement livings team at Carlyle Gardens Retirement Village in Townsville is looking for committed and passionate Village Administrator to join their dedicated and close-knit team on a full time basis. Blue Care operate over 35 retirement villages across Queensland, with more than 3,300 residents choosing to make a Blue Care communities their home. Reporting to the Senior Village Manager, the role will provide professional and efficient administrative support to the Village Manager with day-to-day operation and administration of the Retirement Village. To act as the first point of contact for residents, contractors & visitors, working with limited supervision. Provision of emergency first response. Your responsibilities will include: Provide professional first point of contact/ reception service to internal and external customers either direct, by phone or email including operational and sales enquiry. Address enquiries efficiently and effectively providing accurate information within the scope of the position or coordinating messages and referral to relevant staff. Provide appropriate support to residents at all times respecting their privacy, independence and dignity including responding to general administrative and management enquiries. Receive and process incoming and outgoing mail and deliveries. Undertake distribution of mail, notices, newsletters etc to resident letterboxes and noticeboards in accordance with site processes. Undertake administrative functions, including but not limited to preparation, copying and presentation of letters, notices, memos, reports, agendas, and minutes etc Draft and compile the monthly resident newsletter, identifying content of interest to residents and working with residents to receive regular article contributions. Processing of work orders and invoices in accordance with BlueCare financial processes and delegations. What makes a difference for us? Demonstrated experience in general office administration including sound knowledge and use of computer software packages including Microsoft Office suite and database applications. Effective time management skills and ability to prioritise workloads. Demonstrated effective interpersonal, verbal and written communication skills. Experience working within a team and autonomously as required. Prior experience in a service-based industry. Previous experience working in a similar role with a demonstrated empathy and understanding of working with seniors.
