About the Role The Senior Executive Assistant (Sr. EA) is highly organised, proactive and will provide comprehensive support to the President & GM and at least 3 Senior Leadership Team Members. The Sr. EA will support and partner with other leaders and employees in the organisation as required in agreement with the Senior Leadership Team members. This role supervises a contingent Executive Assistant who themselves will support several Senior Leadership Team Members.  The Sr. EA is also the Primary Records and Information Manager for the affiliate, providing direction to the company on records management activities. This role includes a broad range of administration services that will require focus, discipline and flexibility to work across different activities as determined by leaders and business needs.  Below outlines the standard administration responsibilities of the Sr. EA that will span across functional areas: Proactive Calendar and Meeting Management including pre-read consolidation Coordination across leaders internally and externally to maximize engagements. Ownership to drive engagements that have the most impact on the business. Travel Arrangements including key external event coordination Expense Reporting & General Procurement Support Support Recruiting & Onboarding Identify needs of the local affiliate and broader team including supporting affiliate visits Compliance & Right to Operate Support Departmental Office Support Departmental-Specific Project Support Essential capabilities and behaviours Excellent organizational skills Strong verbal and written communication skills Relationship management and desire to work as a team Proactive attitude and team player mindset Flexibility and adaptability to meet various business needs Critical thinking and problem solving Technology skills required for administrative tasks A compliance mindset and attention to detail Project management skills Willingness to try and leverage AI tools People leadership experience Basic requirements Minimum 3-5 years of Senior/Executive Administrative Assistant experience supporting a CEO, General Manager or other senior-level international leaders or, equivalent experience (e.g., project management, customer relationship management), with a track record of managing complex schedules and projects. Experience managing travel and business expense reporting Experience managing direct reports is preferred Willing to be on site per guidance. Given this role supports supports a variety of functions, on site work is necessary.
